Charter of Duties of Interpreter/ Translator (Social Secretary)
The key responsibilities include but are not limited to:
- Preparing programe and making appointments of the Ambassador.
- Checking and processing of emails related to consular/administrative issues coming from within Ukraine (Emails from Pakistan will be handled by PA).
- Attending telephone calls and responding to all queries.
- Storage of all magazines received in the Embassy’s Library.
- All documentation/translation of notes received from various Ministries / Departments of the host government (incoming and outgoing) addressed to the Ambassador’s office or as assigned by the DHM/PA.
- As authorized person of Embassy, interact with Foreign office regarding Consular Work.
- Collect and deposit mail in Foreign Office etc if assigned by Ambassador/DHM.
- Assisting other colleagues and perform duties of Receptionist / Translator when required.
- Keeping contacts of all Ukrainian Ministries/Departments updated. It should include telephone & fax numbers and email addresses.
- Ensuring proper cleanliness of own 2nd floor by cleaner every day.
- Keeping Ambassador’s program ready all the times. Meeting timings, date and venue should carefully be coordinated after taking approval.
- Inform Embassy’s Driver of the complete program on day-to-day basis, particularly time and address.
- Coordination with HOM guests and embassy staff in arranging functions.
- Preparing & sending invitation cards.
- Preparing guest lists, seating plan and place cards for each function.
Proposing menus for each function. - Seeking cost estimates for functions and events.
- In case of any visitor to Ambassador/HOC, receive and guide them to the office of the Ambassador/HOC, and when asked, to interpret.
- To ensure coordination for airport passes, medical cards and other such tasks.
- Serve tea to H.E. & HOC and their guests when required.
Qualifications and Experience
- Age limit (25 to 40 years)
- Preferably Master Degree in Philology (with English as a First Language)
- Interpreter Course/diploma holders (English to Ukrainian) would be preferred
- Minimum 2 years relevant experience
- High level of Ukrainian and English language skills both written and oral are essential.
- Highly developed organization and communication skills, including the ability to work under pressure with minimal supervision.
- Proficiency in the use of standard office IT equipment with good typing skills.
- Highly developed understanding of Asian and Western dining and banquet etiquettes would be a plus; an interest in food presentation is desirable.
- Ability to work flexible hours to accommodate HOM’s guests invited at the Residence.
